Where AI Assist wins

No bot in the participant list

Otter Assistant joins your meeting as a named attendee and starts recording. For internal team meetings that's fine — most attendees have opted in via their employer. For customer calls, one-on-ones with skeptical counterparts, or meetings in two-party-consent jurisdictions, having a visible AI bot show up creates real friction. AI Assist captures the meeting from your browser tab instead. Other participants have no idea you're taking notes.

Audio never leaves your machine

Otter transcribes on their infrastructure. That means every second of every meeting sits on Otter's servers, encrypted at rest, waiting for their next incident report. AI Assist's local helper streams audio directly to OpenAI's Whisper endpoint via your key; the transcript is written to a SQLCipher-encrypted DB on your laptop. Otter Business is $16.99/user/month on annual. A single seat is $203.88/year. AI Assist's desktop license is $3 once, and your marginal cost is ~$15/mo in API usage that goes directly to Anthropic + OpenAI (see the BYOK cost breakdown). Over 12 months you spend under $200 all-in — less than a single Otter seat, and the marginal cost drops further in year two once the license is fully amortized.

Insights + ask-your-files, live during the meeting

Two things Otter fundamentally can't do because it lives entirely in its own cloud: (1) proactive insights — AI Assist reads the transcript in real time and auto-surfaces excerpts from your indexed folders (contracts, docs, past meeting notes) that overlap with what's being discussed, cited by filename; (2) ask any question grounded in your own files — type "what did we decide about the export pipeline?" or "what's the 2025 interest expense in the DD workbook?" and the answer comes back with the specific file citations. On-device embeddings, your files never leave your machine.

Where Otter still wins

Team workspaces + collaboration

Otter has shared spaces, comment threads on transcripts, and integrations with Slack + Notion. AI Assist is single-user today; sharing means exporting markdown and sending it. Cloud sync brings your own transcripts to multiple devices but not to teammates.

SOC 2 Type II

Otter has SOC 2 II. If your procurement team has a hard SOC 2 requirement, we're not the pick today — AI Assist is a small operation and the audit is on the roadmap for when the customer mix justifies it. Mobile

Otter has iOS and Android apps. AI Assist is desktop-only by design — transcription runs on your machine, which by definition rules out a mobile-only setup. If you want meeting notes captured on your phone, Otter is the answer.

When to switch from Otter to AI Assist: your meetings routinely include external customers or partners who haven't consented to a bot, your legal or security team has flagged the audio-uploads-to-vendor-cloud pattern, or you're just tired of paying $200+ per year per seat for functionality you can run through accounts you already have.

  1. Export your Otter transcripts. Otter → Account → Data export → download the ZIP. Keep it as your archive.
  2. Cancel your subscription (or pause — Otter's cancellation flow keeps you on Free with reduced quotas).

  4. Install AI Assist. Download the macOS or Linux helper and install the Chrome extension. Paste both keys into the extension Options.
  5. Turn off the Otter calendar integration so Otter Assistant stops joining meetings you're not paying for anymore.
